Introduction
Welcome to WiseCoach (“we,” “us,” or “our”). We provide a School Management System application (the “App” or “Service”) designed to facilitate communication and data management for educational institutions (“Schools”), their students, and their parents/guardians (collectively, “Users”).
This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our mobile application. Please read this privacy policy carefully. By using the App, you agree to the collection and use of information in accordance with this policy. If you do not agree with the terms of this privacy policy, please do not access the App.
This policy is designed to comply with data protection regulations and the requirements of the Google Play Store.
The School as the Data Controller
The WiseCoach App is a tool provided to Schools. The School is the Data Controller for the personal data of its students and parents. This means the School determines the purposes and means of processing personal data. We act as a Data Processor on behalf of the School, processing data according to their instructions and our agreement with them.
Information We Collect
We collect information that is necessary to provide and improve our Service. The types of information we collect are:
A. Information Provided by the School When a School signs up for our Service, they provide us with information about their students and personnel. This includes:
Student Information: Full name, student ID, class, grade, and other educational identifiers.
Parent/Guardian Information: Full name, email address, phone number, and relationship to the student.
Teacher & Staff Information: Full name, employee ID, subjects taught, and contact information.
B. Information You Provide to Us When Users (students, parents, teachers) create or use their accounts, they may provide:
Account Credentials: Username and password for accessing the App.
Profile Information (Optional): Users may voluntarily add a profile picture or other details to their profile.
Communications: Information submitted through homework, assignments, or messages sent within the App.
C. Information We Collect Automatically When you use the App, we automatically collect certain technical information to ensure the App functions correctly and to improve our services:
Device Information: We collect information about the mobile device you use, such as the hardware model, operating system and version, and unique device identifiers. This is essential for troubleshooting and providing a compatible service.
Usage Data: We collect information about your activity on the App, such as the features you use, the pages you view, and the dates and times of your access. This helps us understand usage patterns and improve the user experience.
Network Information: We use the Internet permission to send and receive data from our servers. All communication between the App and our backend is encrypted using HTTPS protocol.
What We DO NOT Collect:
Precise Geolocation Data: We do not collect or track any precise location-based information from your mobile device.
Sensitive Permissions: The WiseCoach App does not request access to your device’s contacts, SMS messages, call logs, or microphone.
How We Use Your Information
We use the information we collect for the following purposes:
To Provide and Maintain the Service: To create and manage accounts, provide access to educational data (grades, attendance), and facilitate communication between the School and Users.
To Improve the App: To understand how our Users interact with the App and use that insight to improve features, performance, and usability.
To Provide Customer Support: To respond to your requests, questions, and support needs.
To Ensure Security: To protect the security and integrity of our App, prevent fraud, and enforce our terms of service. All data access is protected by Basic Authentication over our REST APIs.
How We Share Your Information
Your privacy is paramount. We do not sell your personal data. We only share information in the following limited circumstances:
Within Your School Community: A student’s personal and academic data is visible only to that student, their registered parents/guardians, and authorized personnel at their specific School (e.g., teachers and administration). School administrators can view aggregated data (like class performance averages) and the individual data of students within their institution.
With Third-Party Service Providers: We may share information with trusted third-party vendors who perform services on our behalf, such as web hosting and database management (specifically, our WordPress and MySQL backend). These providers are contractually obligated to protect your data and are not permitted to use it for any other purpose.
For Legal Reasons: We may disclose your information if required to do so by law or in response to valid requests by public authorities (e.g., a court or a government agency).
Data Security
We implement robust administrative, technical, and physical security measures to protect your personal information. These include:
Encryption in Transit: All data transmitted between the Flutter app and our WordPress backend is encrypted using Secure Socket Layer (SSL)/Transport Layer Security (TLS) technology via the HTTPS protocol.
Access Controls: User data is stored in a MySQL database and is only accessible through our secure REST APIs, which require user credentials (Basic Authentication) for every request.
Server Security: Our servers are maintained in a secure environment with standard security protocols.
While we have taken reasonable steps to secure the personal information you provide to us, please be aware that no security measures are perfect or impenetrable, and no method of data transmission can be guaranteed against any interception or other type of misuse.
Data Retention
We retain personal data for as long as the School maintains an active account with us. When a School terminates its contract with WiseCoach, we will delete all associated personal data from our active systems in accordance with the terms of our agreement with the School, typically within a 90-day period.
Your Rights and Choices
As we are the Data Processor, requests regarding your data rights should be directed to your School (the Data Controller).
Access and Correction: You have the right to access and update your personal information directly within the App. For corrections that cannot be made through the App, please contact your School’s administration.
Deletion: To request the deletion of your account and personal data, please contact your School’s administration. They will then instruct us to remove your data from our systems.
Children's Privacy
The WiseCoach App is intended for use by children (students) under the direction of their School and parents. We operate in compliance with children’s privacy principles like the Children’s Online Privacy Protection Act (COPPA).
The School is responsible for obtaining any necessary parental consent for a student to use the App and for providing this data to us. We do not knowingly collect personal information directly from children without such consent. If you believe we have inadvertently collected such information, please contact us via the School so we can promptly obtain parental consent or remove the information.
Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the “Effective Date” at the top. We encourage you to review this Privacy Policy periodically for any changes.
