Welcome to WiseCoach (“we,” “us,” or “our”). We provide comprehensive educational technology solutions, including our School Management System for educational institutions (“Schools”) and targeted learning platforms for individual learners preparing for competitive exams (e.g., CSS, NRE, USMLE, PLAB) and skill-building courses.
This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our mobile application and web platforms (collectively, the “App” or “Service”). Please read this privacy policy carefully. By using the App, you agree to the collection and use of information in accordance with this policy. If you do not agree with the terms of this privacy policy, please do not access the App. This policy is designed to comply with data protection regulations and the requirements of platform distribution stores.
Data Roles: Controller vs. Processor
Because our platform serves two distinct audiences, our role in handling your data depends on how you use WiseCoach:
For Institutional Users (B2B): When the App is used as a School Management System, the School is the Data Controller for the personal data of its students, teachers, and parents. We act strictly as a Data Processor on behalf of the School, processing data according to their instructions.
For Individual Learners (B2C): When you sign up independently for our test preparation courses (e.g., CSS, NRE) or skills courses, WiseCoach acts as the Data Controller of your personal and learning data.
Information We Collect
We collect information that is necessary to provide, personalize, and improve our Service. The types of information we collect are:
A. Information Provided by the School (Institutional Accounts): When a School signs up, they provide information about their community, including:
Student Information: Full name, student ID, class, grade, and attendance/academic records.
Parent/Guardian Information: Full name, email address, phone number, and relationship to the student.
Teacher & Staff Information: Full name, employee ID, subjects taught, and contact information.
B. Information You Provide Directly to Us (Individual Learners & All Users):
Account Credentials: Username, email address, and password.
Profile Information: Voluntary details such as profile pictures, target exams (e.g., CSS 2026, NRE), and educational background.
Learning & Assessment Data: Information submitted through practice MCQs, written assignments, and mock exams, which our system uses for weakness analysis and personalized feedback.
Financial Data: Billing information and transaction history for independent course purchases or institutional fee payments (processed via secure third-party gateways).
C. Information We Collect Automatically:
Device Information: Hardware model, operating system and version, and unique device identifiers to ensure app compatibility and troubleshooting.
Usage Data: Activity logs, such as features used, study modules accessed, and time spent on the App, helping us improve user experience and algorithm accuracy.
Network Information: We use Internet permissions to send and receive encrypted data (via HTTPS) between the App and our backend.
What We DO NOT Collect:
Precise Geolocation Data: We do not track precise location-based information from your device.
Sensitive Permissions: The App does not request access to your device’s contacts, SMS messages, call logs, or microphone.
How We Use Your Information
We use the collected information for the following purposes:
To Provide the Service: To manage accounts, deliver automated fee collection and payroll services for schools, and grant access to study materials and master notes for individual learners.
To Personalize Learning: To power our AI-driven analytics and Weakness Analysis Algorithm, providing targeted feedback and study recommendations for CSS, NRE, and skills course candidates.
To Improve the App: To analyze user interaction and enhance administrative dashboards and learning modules.
To Ensure Security: To protect the integrity of our App, prevent fraud, and enforce our terms of service using Basic Authentication over our REST APIs.
Data Security
We implement robust administrative, technical, and physical security measures to protect your personal information. These include:
Encryption in Transit: All data transmitted between the Flutter app and our WordPress backend is encrypted using Secure Socket Layer (SSL)/Transport Layer Security (TLS) technology via the HTTPS protocol.
Access Controls: User data is stored in a MySQL database and is only accessible through our secure REST APIs, which require user credentials (Basic Authentication) for every request.
Server Security: Our servers are maintained in a secure environment with standard security protocols.
While we have taken reasonable steps to secure the personal information you provide to us, please be aware that no security measures are perfect or impenetrable, and no method of data transmission can be guaranteed against any interception or other type of misuse.
Data Retention
We retain personal data for as long as the School maintains an active account with us. When a School terminates its contract with WiseCoach, we will delete all associated personal data from our active systems in accordance with the terms of our agreement with the School, typically within a 90-day period.
Your Rights and Choices
As we are the Data Processor, requests regarding your data rights should be directed to your School (the Data Controller).
Access and Correction: You have the right to access and update your personal information directly within the App. For corrections that cannot be made through the App, please contact your School’s administration.
Deletion: To request the deletion of your account and personal data, please contact your School’s administration. They will then instruct us to remove your data from our systems.
Children's Privacy
The WiseCoach App is intended for use by children (students) under the direction of their School and parents. We operate in compliance with children’s privacy principles like the Children’s Online Privacy Protection Act (COPPA).
The School is responsible for obtaining any necessary parental consent for a student to use the App and for providing this data to us. We do not knowingly collect personal information directly from children without such consent. If you believe we have inadvertently collected such information, please contact us via the School so we can promptly obtain parental consent or remove the information.
Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the “Effective Date” at the top. We encourage you to review this Privacy Policy periodically for any changes.
